        Privacy

        Evisense provides customisable privacy settings for different user roles within a school, enabling control over who can share posts and the privacy levels for each type of post created. Schools can decide whether users can adjust these privacy levels and can enforce stricter privacy settings where posts require approval before being accessible to wider audiences like parents or external users. The system allows setting both default and maximum privacy levels for each post, with the option for users to adjust within these limits. For specific adjustments or to add more open privacy options, schools need to configure each user role’s permissions accordingly.

        These controls cover a variety of settings:

        • You can set to set which school users can share posts with parents/guardians, external users, and students.
        • For each user role you can set the default privacy level for each post type they can create.
        • For each user role you can set the maximum privacy level for each post type they create.
        • For each user role you can decide if the users can adjust the default privacy level.
        • For each user role you can decide if the users can set a more open privacy level.

        Privacy Levels #

        Evisense has 9 privacy levels. These are a combination of different school user groups, parents, students and external users. Different user roles will see different options when they are creating or editing a post, they will only see options that include the groups they are part of. Some options can be be restricted by the school.

        Senior Leaders #

        These posts are only visible to senior leaders.

        Teachers #

        These posts are visible to all teachers and senior leaders.

        All Staff #

        These posts are visible to all staff within the school.

        All Staff and External Users #

        These posts are visible to all staff within the school and external users.

        All Staff, External Users and Parents/Guardians #

        These posts are visible to all staff within the school, external users and parents/guardians of students tagged in the post.

        What Does the Padlock Symbol Mean? #

        The padlock symbol on each post is a nice quick and simple way to see if a post has been shared outside of the school. If the padlock symbol is a closed padlock, it means that the poast has not been shared with external professionals, parents/guardians or students. The permissions are set to either Senior Leaders, Teachers or All Staff.

        If the padlock symbol is shown as open, this means the post has been shared with external professionals, parents/guardians or students.

        If you hover over the padlock symbol it will show you the current privacy level. If you have permission to edit the privacy level, you can click on the padlock symbol to change the privacy.

        How do I Change the Privacy of a Post? #

        You can change the privacy of one of your posts at anytime, by clicking on the padlock symbol and changing the privacy level. If you hover over the padlock symbol it will show you the current privacy level.

        Some users will be able to edit the privacy of other users posts. If click on the padlock symbol and it gives you the list of privacy options, you can edit the privacy of that post. The guide below shows you how to change the privacy on a post.

        Can I Change the Privacy of Another User’s Post? #

        Yes, some users will be able to edit the privacy of other users posts. If click on the padlock symbol and it gives you the list of privacy options, you can edit the privacy of that post.

        Protected Students #

        Protected students are students whose posts should not be seen by other people. This can be due to children being on the child protection register, they could be a child in care, or it could be parental preference. Within My BSquared, on the Manage Students screen, you can set a child to be a Protected Child. This will stop any guardians/parents other than those linked to them from seeing posts in which they are tagged.

        If two children are tagged in a post where the privacy is set to allow parental access and one of them is a Protected Child, the parents of the other child will not be able to see the post.

        If two children are tagged in a post where the privacy is set to allow parental access and both are Protected Childre, no parents will see the post.

        If you give students access to Evisense, students can see the posts they are tagged in that they have been given access to, even those containing protected children. This is so the students can collaborate and add their views on the posts. The system would appear dysfunctional to students if we did not do this.

        It is important that parents do not use their child’s accounts to access Evisense
