12 top tips for Evisense

Here are some time saving tips to help you get the most out of Evisense, our communication hub for parents and schools

1. Simplify with the right post types

We have lots of post types within Evisense to help organise and streamline communications. These include class blog, evidence, home school diary, pupil voice, learning opportunities, Wow moments and more. You can view all the different post types together in your feed or filter to a specific post type to find the information you want. If you feel there are too many post types to manage, ask your Administrator to limit the post types visible. This way schools can pick which post types they wish to use.

2. Your feed, your way

Use the Green Funnel on your Evisense feed to filter your posts by curriculum/aspects/creator/privacy. This will show you posts with similar criteria across the school, a group, or an individual student. Can’t find a post? it’s probably just filtered out right now. Check your filter options to make sure you are displaying all the posts in your stream.

3. Add your own aspects to categorise posts

We have added more aspects for you to choose from within Evisense. Our current list of aspects is based on country, framework and other values. You can select which aspects you wish to use, simply go to ‘School Preferences’, then ‘Aspects’ to check which aspects appear and switch them on or off. If there are other aspects you want to use within Evisense, like your school values or wider curriculum areas, get in touch to let us know and we can add those for you.

4. Assess directly from Evisense

If your school also uses our Connecting Steps assessment software you can assess directly from Evisense without even needing to open Connecting Steps. Simply create and publish your post, at which point you will be asked ‘Do you want to assess?’ Click ‘Yes’ to assess the achievements linked to the post. It’s as simple as that! All the assessment content in Connecting Steps is accessible via Evisense. Schools that don’t have our assessment software can still show progress by linking posts to our free assessment content in Evisense.

5. Stay on top of storage space

Your school can easily view storage levels and manage storage quotas for students to ensure you don’t run out of storage space. Your Administrator can see how much storage each student has used by clicking on their profile picture, then ‘Storage Management’ in Evisense. Instead of all students being fixed with the same amount of storage, your Administrator can allocate Evisense Tiers to students. This is more efficient and cost effective as students with less evidence can be on a lower tier, while students who get lots of evidence added, can be moved to a higher tier. If you see a notification saying, ‘the following students have exceeded their storage quota, this post will be stored as a draft’, you need to ask your Administrator to manage your storage quotas.

6. Share media school-wide

Make media galleries accessible for all Evisense users in your school. This enables everyone to access each other’s media and reuse evidence for different students/purposes. Simply ask your Administrator to give all users access to all galleries in ‘School Preferences’ within Evisense.

7. Duplicate posts in a click

Whilst you can already tag multiple students in a post, sometimes you want to have different variations of a post. Now you can take an existing Evidence post and duplicate it! This post will then serve as a template. Simply click on the 3 dots, then choose ‘Duplicate Post’. The text and photo will automatically appear, so you just need to check the post privacy setting, select a student and link assessments if required.

8. Activate parent mode

Bring up a student in the feed and activate parent mode to only show the evidence that you have already authorised for parents to see. Parents can then view this evidence on your device at parents’ evenings, with you safe in the knowledge that they are only looking at the posts they are allowed to see and nothing else. This is a huge time saver.

9. Control post privacy settings

Evisense provides customisable privacy settings for different user roles within a school. This gives your school control over who can share posts and the privacy levels for each type of post created. The system allows setting a default and maximum privacy level for each post type and user role, with the option for users to adjust within these limits.

10. Upload media from your device

Want to upload media stored in the camera roll of your device? Ask your Administrator to check your school’s Evisense settings. Access to device media (so you can upload from your device camera roll) can be enabled in ‘School Preferences’ for each user role.

11. Focus on your class

Set Evisense to show only the posts from your class. Simply select ‘User Preferences’ followed by ‘Default Group’ to see the posts for this group when you open Evisense. You can choose either a registration group, teaching group or messaging group. Evisense will then always default to your selected group when you log in.

12. Notifications that work for you

You can choose which notifications you would like to receive from Evisense and set timings for them (e.g. within working hours only). Outside of the specified days and hours, notifications are silenced, so teachers’ downtime remains undisturbed. Your Administrator can set notification rules at a school level, but each user can also make their own adjustments. Setting up additional notifications is a useful feature that keeps you up to date in the areas that are important to you. For example, you might be the SENCO and want to keep up to date with the home school diaries for your SEN pupils.
